This position provides senior administrative support for the President of the organization. The incumbent is responsible for coordinating day-to-day operations, short and long term planning, and performing a variety of tasks and services to support the President and the other leadership team as and when required. An incumbent in this role also supports planning, developing and implementing the projects and activities for the Director.
Key Resposibilities:
• Drafts and signs general correspondence such as responses to information requests for the President
• Ensures that correspondence is complete and free of typographical, grammatical, and spelling errors
• Assesses the level of urgency of documents, projects and files, distributes them, and monitors their progress and deadlines
• Attends to all administrative details to lighten the workload of the President
• Oversees the physical preparation of meetings, conferences, and information sessions ascertains the items for inclusion on the agenda, drafts agendas, prepares relevant documents, issues meeting notices
• Attends meetings and drafts minutes/reports
• Collects and gathers data from various sources
• Provides general information on directives, activities, and, as required, provides explanations or clarifications
• Schedules or re-schedules the President’s meetings based on priorities, remind them of meeting dates, and prepares the necessary documents
• Makes travel arrangements
• Answers, screens, forwards, and makes telephone calls, Emails
• Performs research and provides requested information or refers the requestor to the appropriate authority
• Carries out any other related task, as requested.
Must Have’s:
• Secondary (High) School certification is required. A university degree or diploma would be preferred.
• Ability to draft business and general correspondence
• Knowledge of Windows operating system, Outlook, Word, Excel and PowerPoint
• Ability to exercise good judgment and adapt to a variety of situations
• Good communication skills
